Job Description
The Operation Support is responsible for efficiently planning and organizing monthly activities, ensuring timely execution, and promoting a positive work environment. This role ensures the efficient operation of the organization by providing administrative, logistics, procurement, and HR support to facilitate smooth day-to-day functions and program delivery.
Key Responsibilities
1. Planning and Designing
- Develop yearly, quarterly, and monthly activity plans and upload them on time.
- Prepare monthly activity reports in the last week of every month.
- Assist in planning operational activities including procurement, logistics, and HR support.
- Develop schedules for office administration, travel, and events.
2. Administrative & Travel Support
- Coordinate meetings and distribute relevant materials.
- Provide general office support, including handling inquiries, correspondence, and office memos.
- Arrange domestic and international travel, including flight bookings, accommodation, and transport.
- Maintain travel records and itineraries for all official trips.
3. Logistics & Procurement Support
- Organize logistics for events, workshops, and field visits.
- Ensure timely delivery of supplies, equipment, and materials to project sites.
- Manage office assets and oversee office maintenance.
- Support procurement processes by preparing purchase requests and obtaining quotations.
- Maintain vendor and supplier records and ensure compliance with PAPDA policies and donor regulations.
4. Problem Solving & Technology
- Identify operational challenges and implement preventive/corrective measures.
- Actively participate in the training and integration of the ERP system into daily operations.
5. Capacity Building
- Engage in self-capacity-building initiatives.
- Pursue mandated certifications to support organizational transformation.
Job Requirements
- Education: Bachelor’s degree in Business Administration, Management, Logistics, or a related field.
- Experience: At least 3-5 years of experience in operational support roles, preferably in an NGO setting.
- Key Skills: Strong organizational and multitasking skills, basic understanding of HR/Logistics, excellent communication, conflict resolution, and teamwork abilities.
- Software: Proficiency in standard office software and tools.
